    Position Title: Psychology Administrative Intern
    Reports to: Principal Psychologist (Toltu Tufa)
    Location: Remote (occasional in-person meetings – Noble Park, VIC)
    Employment Type: Paid Internship
    Hours: 1 hour per day, Monday–Friday

    Duration: 12 months

    About the Role

    Are you a psychology or allied health student looking forpractical experience in a real-world setting? Our Psychology Administrative Intern role is perfect for you! You’ll support the day-to-day running of ourpractice while gaining valuable insight into how a private psychology clinic operates.
    This role is fully remote, so you can work from home, with occasional in-person meetings for training or team catch-ups.

    What You will Do

    Client Support & Communication:
    · Answer client calls, emails, and messages professionally.
    · Help clients with appointment bookings, rescheduling, and general enquiries.
    · Communicate with GPs, NDIS providers, TAC, and WorkCover as needed.
    · Send intake forms and assist new clients with onboarding.
    · Refer clients to other services when appropriate.

    Scheduling & Practice Management:
    · Manage appointments in Halaxy (bookings, reschedules, cancellations).
    · Schedule meetings with case managers, support coordinators, and other professionals.
    · Send telehealth links and adjust appointments as requested.
    · Maintain accurate client records.

    Billing & Invoicing Support:
    · Assist with processing payments and sending receipts.
    · Support invoicing for clients and third-party services.
    · Followup on unpaid invoices.

    Referrals & Documentation:
    · Uploadand manage referrals, GP letters, and treatment summaries.
    · Ensureclient documents are stored securely and password-protected if needed.

    Event & Project Support:
    · Help schedule Toltu’s events and professional engagements.
    · Liaise with event organisers and case managers for scheduling and payments.

    Administrative Coordination:
    · Attend occasional team or supervision meetings (remote or in-person).
    · Trackand log completed tasks.
    · Contributeto process improvements and assist with other admin projects.

    Who We’re Looking For

    Essential:

    · Enrolledin a Psychology or Allied Health degree.

    · Strongwritten and verbal communication skills.

    · Organised,reliable, and professional.

    · Comfortable learning new systems and working independently.

    · Accessto a computer and reliable internet for remote work.

    Desirable:

    · Familiarity with NDIS, TAC, WorkCover, Medicare or psychology practice operations, including Halaxy software.

    · Previousadministrative or customer service experience.

    · 1 hour per day, Monday–Friday (flexible timing within agreed schedule).
